Due to the customized nature of these services and the resources allocated to each project, refund requests are assessed individually. By engaging Aussie App Developers, the client agrees to the terms outlined in this Refund Policy.

1. Scope and Applicability

This Refund Policy applies to services provided by Aussie App Developers, including but not limited to:

  • Website design and development

  • WordPress and content management system development

  • E-commerce website development

  • iOS and Android mobile app development

  • Web application and custom software development

  • UI/UX design, wireframing, and prototyping

  • Website and app maintenance, hosting support, and technical assistance

  • Digital branding and other related professional services

This policy supplements any Service Agreement, Statement of Work, quotation, proposal, invoice, or project contract provided to the client. Where a conflict exists, the terms of the signed project agreement or Statement of Work will take precedence, subject to applicable law.

2. Project Deposits and Advance Payments

Deposits and advance payments are used to reserve development resources, conduct project discovery, create technical plans, prepare designs, purchase required tools, and begin work on the project.

  • A deposit may be refundable if the client cancels before meaningful discovery, planning, design, development, or resource allocation has begun.

  • Once project work has started, the deposit may become partially or fully non-refundable depending on the work completed and costs incurred.

  • Any non-refundable deposit requirements stated in a signed agreement, quotation, or proposal will continue to apply.

3. Cancellation and Termination

Client-Initiated Cancellation

  • If the client cancels before meaningful discovery, planning, design, development, or technical work has begun, we may refund the amount paid after deducting administrative costs, consultation fees, and committed third-party expenses.

  • If the client cancels after work has begun, the client remains responsible for all completed work, approved milestones, developer hours, design work, project management time, resources allocated, and third-party costs incurred up to the cancellation date.

  • Any remaining unused balance may be refunded, retained against outstanding costs, or offered as a service credit, depending on the project circumstances and applicable agreement.

  • Cancellation requests must be submitted in writing by email.

Agency-Initiated Cancellation

  • If Aussie App Developers cancels a project without client fault, we will refund payments received for undelivered work after deducting the reasonable value of completed services and documented third-party expenses.

  • We may suspend or terminate services where the client fails to make payments, provide required information, respond to communications, approve milestones, comply with project terms, or engages in unlawful, abusive, or inappropriate conduct.

Recurring and Maintenance Services

  • Clients must provide at least 30 days’ written notice to cancel recurring services, including website maintenance, app maintenance, hosting support, technical support retainers, and ongoing development services.

  • Payments already made for the current billing period are generally non-refundable once the billing period has started or resources have been allocated.

  • Cancellation of hosting, domain, plugin, software, cloud, or third-party subscription services may also be subject to the provider’s own cancellation and refund conditions.

4. Milestone Payments

Website and app development projects may be divided into stages or milestones, such as discovery, wireframing, design, development, integration, testing, deployment, and maintenance.

  • Payments made for completed, delivered, or approved milestones are non-refundable, except where required by applicable law.

  • A milestone may be considered accepted when the client provides written approval, requests progression to the next stage, uses the deliverable, launches the website or application, or fails to raise material concerns within the agreed review period.

  • Refund requests relating to an incomplete milestone will be assessed based on the work performed, time spent, resources allocated, and costs incurred.

5. Refund Conditions and Exceptions

A refund, partial refund, service credit, or billing adjustment may be considered where:

  • We materially fail to provide the agreed website, application, software, or design services described in the approved project scope.

  • The client provides written notice of the issue and allows us a reasonable opportunity to investigate and correct it.

  • We are unable to correct a material failure within a reasonable period.

  • A duplicate payment, incorrect charge, or demonstrable accounting error has occurred.

  • A payment was received for a service that was cancelled by us before work commenced.

We may refuse or limit a refund where:

  • The client changes their mind after approving the project scope, design, functionality, or milestone.

  • The client fails to provide required content, branding materials, login credentials, API keys, product information, feedback, approvals, or other project assets.

  • The project is delayed because of late responses, incomplete information, missed approvals, or other actions by the client.

  • The client requests additional pages, features, integrations, revisions, or functionality outside the approved project scope.

  • The issue results from third-party hosting, plugins, themes, APIs, payment gateways, software, platforms, devices, browsers, app stores, or external services outside our reasonable control.

  • The website, application, software, design, or code has already been approved, accepted, downloaded, transferred, deployed, published, launched, or used by the client.

  • The client has received source files, website credentials, application builds, code, designs, databases, or other project deliverables.

  • The client’s expectations are based on requirements, features, or results that were not included in the agreed scope of work.

6. Website Development Refund Conditions

For website design and development projects, refunds may be restricted once any of the following work has been performed:

  • Website planning, competitor research, sitemap creation, or technical discovery

  • Wireframes, layouts, mock-ups, prototypes, or UI/UX designs

  • Theme setup, custom coding, page development, or content management system configuration

  • E-commerce functionality, payment gateway integration, or product setup

  • Plugin, API, CRM, booking system, or third-party service integration

  • Website testing, migration, deployment, or launch

After the website has been approved, launched, transferred to the client, or made accessible on a live domain, payments for the completed work are generally non-refundable.

7. Mobile App and Software Development Refund Conditions

For mobile app, web application, and custom software projects, refunds may be restricted once any of the following work has been performed:

  • Technical planning, software architecture, database design, or feature documentation

  • Wireframes, prototypes, UI/UX designs, or user-flow development

  • Frontend, backend, API, database, or integration development

  • Testing, debugging, quality assurance, or device compatibility work

  • Application builds, test versions, beta releases, source code, or technical files provided to the client

  • Submission or publication to the Apple App Store, Google Play Store, or another software distribution platform

App Store or platform approval is controlled by the relevant third-party provider. Rejection, delay, suspension, removal, or policy changes by an app store or external platform do not automatically qualify the client for a refund where the agreed development services have been completed.

8. Design Revisions and Change Requests

Each project includes the number of design revisions, development revisions, or feedback rounds stated in the proposal or project agreement.

  • Unused revision rounds do not have a separate cash value and are not refundable.

  • Additional revisions, new design directions, new pages, new features, or changes to previously approved work may be charged separately.

  • Dissatisfaction based solely on personal preference does not automatically qualify for a refund where the work follows the approved brief and agreed project scope.

9. Third-Party Costs and Non-Refundable Expenses

The following expenses are generally non-refundable once purchased, activated, registered, or committed:

  • Domain name registration and renewal fees

  • Website hosting, server, cloud, and storage fees

  • Premium plugins, themes, templates, extensions, and software licences

  • Stock images, fonts, videos, audio, icons, and other licensed assets

  • Apple App Store, Google Play Store, or developer account fees

  • Payment gateway, API, SMS, email, mapping, artificial intelligence, or other third-party service charges

  • Subcontractor, specialist, consultant, and external service provider fees

  • Banking, payment processing, currency conversion, and transaction fees

10. Calculation and Method of Refund

Where a refund is approved, the amount will be calculated after deducting:

  • The value of discovery, planning, design, development, testing, support, and project management work already completed

  • Developer, designer, project manager, consultant, and subcontractor costs

  • Third-party services, licences, subscriptions, hosting, domains, assets, and platform expenses

  • Reasonable administrative and processing costs

  • Any outstanding invoices, approved change requests, or unpaid project charges

Approved refunds will generally be processed within 14 business days using the original payment method where reasonably possible. Processing times may also depend on the client’s bank, payment provider, card provider, or financial institution.

Payment processing fees, transaction fees, international transfer fees, and currency conversion charges may be deducted from the final refund amount where permitted.

11. Refund Requests and Deadlines

A client requesting a refund, billing adjustment, or service credit must submit a written request within 15 calendar days of receiving the relevant milestone, invoice, design, website page, software build, application version, or project deliverable.

The request should include:

  • The client’s full name and business name

  • The project name or invoice number

  • The payment date and payment method

  • The amount being disputed

  • A detailed explanation of the issue

  • Relevant documents, screenshots, communications, or supporting evidence

Where no written concern is raised within the agreed review period, the relevant milestone or deliverable may be treated as accepted, subject to applicable law and the terms of the project agreement.

12. Chargebacks and Payment Disputes

Clients are encouraged to contact Aussie App Developers before initiating a bank chargeback or payment dispute so that the matter can be investigated and resolved directly.

Submitting a chargeback for services that were properly delivered, approved, or used may result in suspension of the project, hosting, maintenance, support, access to project files, or other services. We reserve the right to provide project agreements, invoices, communications, approvals, work records, and delivery evidence to the relevant payment provider.

13. Australian Consumer Law

Our services come with rights and guarantees that may not be excluded under the Australian Consumer Law.

  • Where there is a major failure with a service, the client may be entitled to cancel the service contract and receive a refund for the unused portion or compensation for the reduction in value.

  • Where a failure is not major, we may be entitled to correct the issue within a reasonable period.

  • Nothing in this Refund Policy is intended to exclude, restrict, or modify any rights or remedies that cannot lawfully be excluded under applicable Australian law.

14. Force Majeure and Third-Party Disruptions

Aussie App Developers is not responsible for delays, interruptions, or failures caused by events outside our reasonable control. These may include internet outages, server failures, cyber incidents, natural disasters, government restrictions, labour disputes, third-party API failures, payment gateway outages, hosting provider issues, app store delays, software platform changes, or external service interruptions.

Where such circumstances affect a project, delivery dates may be extended and refund eligibility may be limited according to the work already completed, costs incurred, applicable project agreement, and legal requirements.
